· The Permitting Entity / DOT is telling me I need to submit site plans; what do I do?
o Our Sales and Operations team POCs will work with you to get engineered plans drawn up in compliance with all local and state laws. This may require coordination with 3rd party engineering firms who possess all applicable state and local licensing. Additional fees may apply if not initially quoted.
· The permitting got kicked back, stating we cannot install poles in the proposed right of way; what now?
o Our Sales and Operations team POCs can work with you to identify either existing infrastructure (with permission to mount on) or alternate locations. Mounting to existing infrastructure may require pole/structure-specific calculations by the permitting body. Additional fees may apply if not initially quoted.
· We are required to have NCHRP 350 or MASH-approved poles; what do we need?
o The Vetted Sales team can quote an upgrade to poles with all calculations done for our equipment mounted on poles that have MASH TL-3 approval.
· Maintenance of Traffic requirements are included to approve permitting; I didn’t budget for it; what now?
o Almost every accredited agency has officers certified in the Maintenance of Traffic. Suppose the local agency or jurisdictional authority can take responsibility for providing MOT services. In that case, we will work with the agency on plan submittal in the best attempt to avoid additional costs.
· The cameras need to be mounted for cross bars at intersections or on the vertical pole; the technician only has a ladder; how do we mount them there?
o Ideally, mounting location and pole types were identified during the site survey; if these change during the permit process or for any reason, no problem. We have a fleet of bucket trucks operating around the country. We can schedule a bucket truck crew for installation. Timeline delays and additional fees may apply.
· The accounting team is telling me there are permitting fees that weren’t disclosed in the original project fee.
o Because of the vast differences in permitting requirements and regulations regarding operating and deploying in cities and states around the US, it is impossible to set standardized pricing for this. As the project progresses, applicable fees may apply from property owners, local municipalities, state municipalities, and other entities for permitting, MOUs, RLAs, or different types of agreements. Often local fees can be waived in City or County projects with request through proper internal channels within the City / County itself and in the interest of deployment of public safety technology.
· The installation has begun, and we identified that the pole only has power at night and is on a timer or photocell. What do we do?
o There are two options: getting direct power to the location or adding a Vetted Battery Backup Enclosure. These range in cost depending on the draw but a safe number to use is if the power costs over $5,000, the Vetted Battery Backup Enclosure will adequately provide power during the daytime hours when power is cut to the lighting circuit. Please contact your Vetted Sales and Regional Operations Director immediately if this occurs.
· Who is responsible for maintenance?
o Depending on the program selected, maintenance responsibilities are outlined in the contract. If you have any questions about what maintenance program was established, please get in touch with your Vetted Sales or Regional Director Immediately.
· I didn’t select maintenance; what is the cost?
o Cost may vary based on the terms of the Service Level Agreement (SLA), which outlines responsibilities and response times. Our SLA program offers a time and materials or reoccurring dollar amount, which is based on a per camera basis annually and in accordance with agency expectations and deployment size.
